At our July Zoom social mixer, we conducted a deep dive into AI and healthcare, with a focus on AI agents. Much of the discussion revolved around use cases, HIPAA compliance, and liability.
What happened:
The July social mixer was an unmoderated discussion among healthcare IT professionals and marketers. We covered a range of topics, including moving from Microsoft to Google Workspace, Paubox's new quarantine reports, SSO, Paubox SMTP API use cases, Paubox Forms, and inbound security.

Our takeaways:
- An attendee prompted a discussion about transitioning from one major platform to another, specifically from Microsoft to Google Workspace.
- The consensus was that they were both good platforms, but switching is often more of a hassle than it's worth.
- "Solve the licensing problem, don’t switch; you’ll be getting so many tickets and problems."
- Is there a live collaboration tool for AI chats? Not at this time.
- Still, many organizations have team licenses that allow staff to access each other's chats.
- NotebookLM is a popular choice for referencing or sifting through large content resources, like support documentation, hiring interviews, and meeting notes.
- "The easiest way to get things done, hire a lazy man."
- Does ChatGPT sign a business associate agreement (BAA)?
- They only sign a BAA on their API or Enterprise plans.
- Healthcare organizations are leveraging AI's productivity boost to create a better work-life balance for staff and prevent burnout.
- No one has plans to downsize due to AI.
- One attendee is working on an AI agent to strip out PHI before it's used in AI chat fields that aren't HIPAA compliant.
- If a vendor uses a 3rd party AI LLM, the vendor is responsible for signing a BAA with the AI tool.
- If an AI-driven decision or guidance turns out to be wrong or problematic, is there still an internal culture of responsibility based on who would have been responsible in the “before AI” era?
- Our attendees mentioned that yes, the culture still exists at their organizations, and they're making sure to maintain that.
- One Paubox customer has been using the Paubox SMTP API for 2–3 months. He set it up on six major copiers with API keys for encrypted tracking, integrated it with their ticketing system, and was able to retire an old server thanks to the switch from Google domains to Paubox.
- We discussed Paubox Forms:
- One customer uses forms for summer program health documents, added a PDF upload requirement to streamline responses, filters submissions via Gmail, and requests the ability to assign form ownership without being a Paubox admin.
- Another customer uses forms for HIPAA compliant referrals (earning praise from execs) and built an HR document upload form to reduce EP email overhead from personal addresses.
The bottom line: Customers count on Paubox to help keep their emails HIPAA compliant and save time managing inbound email security challenges.
