We're excited to introduce two new features to Paubox Data Loss Prevention: DLP Chat and DLP Observe and Report.
With DLP Chat, describe what you want to catch, and Paubox drafts the rule.
With DLP Observe and Report, simply enable it in the Paubox Dashboard and watch it recommend DLP rules for you.
What's happening
For a segment of customers, data loss prevention is a crucial component of a HIPAA compliant email solution. These customers told us what they wanted from DLP:
-
To catch more than keyword rules allowed, since a literal match only catches what you already know to search for
-
To know what rules they might be missing
We built DLP Chat and DLP Observe and Report to allow Paubox DLP to both these things.
For example, suppose a DLP admin wants to flag any outbound email that names a patient alongside a diagnosis. No single keyword can do that reliably. Described in plain English to DLP Chat, a rule gets drafted that recognizes the pattern.
With DLP Observe and Report, Paubox scans through inbound and outbound email, and reports on any potential violations that might contain:
-
Protected health information (PHI)
- Personally identifiable information (PII)
- Financial information
- Proprietary information
- Legal information
- Login credentials
How DLP Chat works
From Paubox Email Suite > Data Loss Prevention > Rules, select New rule, or click a row of an existing rule to revise it. Describe what you want to catch. DLP Chat asks a couple of clarifying questions, direction (inbound, outbound, or both) and where to look (the whole email, or specific fields like the subject and body), then drafts a rule card to review and save. DLP admins with no rules yet land straight in this chat, with example prompts to start from.
DLP Chat decides whether your request needs a keyword rule (a literal match) or an artificial intelligence (AI) rule (evaluating intent, for anything a literal match can't cover). When a message matches, it's quarantined with a plain-English explanation of why, and the quarantine dashboard names the rule that caught it.
How DLP Observe and Report works
Turn on Behavioral Observation from Settings > Data Loss Prevention. It's independent of your DLP mode, so it can run whether DLP is set to Off or Enforce, and it never holds or quarantines a message.
Inbound and outbound emails run through Paubox's AI, which sorts messages into six categories, PHI, PII, Financial, Credentials, Proprietary, and Legal, each with a severity rating. Marketing and bulk list mail is excluded before that scan runs, which keeps the results relevant.
Matches show up in the Observations tab as suggestion cards covering the last 30 days. From a card, select Create rule to send the details straight to DLP Chat, which drafts the matching rule, or Dismiss to clear it.
When Observe and Report is enabled, DLP admins receive a daily digest of observations.
