Challenge
Delivering a high level of service meant that ClearlyDerm needed to email patients regarding upcoming procedures. These communications sometimes require transmitting protected health information (PHI).
“I knew that we needed our email communication of PHI to be encrypted,” said Dr. Robert Spoont, partner at ClearlyDerm. “I wanted a system that was easy to use in terms of employees and our patients.”
Although there were plenty of solutions that took care of the encryption part, most of them required portals, extra logins, or other steps that made them cumbersome to use.
“I wanted to use a service that was user friendly,” said Dr. Spoont. “I did not want our employees to not use the service because of difficulties in the number of steps necessary to communicate with our patients as well as other providers. And of course, I wanted to be totally compliant with the regulations regarding the transmission of PHI.”
Solution
After doing online research, Dr. Spoont found Paubox. “It was the only encryption service that I could find that seamlessly encrypted our emails that didn’t require additional logins or steps," he explained.
Once ClearlyDerm decided to go become a Paubox customer, the company wasn't left on its own. The Paubox customer success team helped Dr. Spoont set up his account to make sure he got the most from the free 14-day trial period. From there, ClearlyDerm was able to send HIPAA compliant email right away.

In the past 12 months alone, Paubox has encrypted over 600,000 emails sent by 111 ClearlyDerm staff members. Since Paubox encrypts all emails by default, no one had to spend any time wondering about whether or not to encrypt an email; it was done automatically. And all the email recipients had to do was click "open" to read an email - no password or portal required.
In addition, Paubox blocked 539 emails containing viruses, and 258 phishing attempts, any one of which could have led to a security breach and a hefty HIPAA fine.
