- Paubox customer since 2019
Healthfinch uses Paubox Email Suite to make it easy for staff to send encrypted messages by eliminating extra steps and the possibility of human error.
Healthfinch builds applications for electronic medical record systems (EMR's) to help healthcare professionals automate processes.
Through seamless EMR integrations, the company's products enable healthcare systems across the country to automate, delegate, and simplify their workflows.
The best part [about Paubox is] where you can’t mess it up. You send an email, it’s encrypted. Done. We like to make it as easy as possible for our people to send their emails encrypted.Vicky Weber, Business Operations Analyst, healthfinch
Healthfinch's products require technical support which often involves sending sensitive information to customers in order to resolve an issue.
Healthfinch's previous provider, Virtru, does not encrypt all outbound emails by default, which meant human error was a big risk factor. Not an ideal situation.
“We wanted to idiot-proof things, for lack of a better term,” said Vicky Weber, business operations analyst at healthfinch. “Success for us was really about reducing or eliminating PHI from being sent unencrypted by our employees.”
Like many organizations, healthfinch was putting up with the difficulties of its previous email encryption solution before switching to Paubox.
For example, “Virtru was . . . incompatible with the Salesforce extension in Chrome," Weber pointed out. "People were having to constantly log out and log back in, which was really frustrating,”
Thankfully, Weber's compliance officer heard Paubox mentioned at a meetup she attended. Weber then set about investigating if Paubox would be a good fit for her company.
Once she saw a Paubox Email Suite demo, Weber knew it would be a better fit. She especially appreciated that Paubox encrypts all outbound emails by default.
“The best part is where you can’t mess it up. You send an email, it’s encrypted. Done. We like to make it as easy as possible for our people to send their emails encrypted,” said Weber. “We want to make sure that all of our communication is as secure as possible given the type of environment we work in.”
With Paubox, email recipients have a better experience as well, because unlike Virtru, they are not required to create accounts to view messages. Instead, Paubox delivers HIPAA compliant emails seamlessly to the inbox via a secure TLS connection.
“From an ease of use standpoint, Paubox just made our lives a lot better,” Weber added.
Not only is Paubox Email Suite easy for email senders and receivers, but it's easy to implement and maintain as well.
“We wanted something that we didn’t have to necessarily worry about when we were onboarding new people. Just add, done," said Weber.
That ease of use even extended to setting up healthfinch's Paubox account.
“We worked with Justin, and I have never met a human being who is more passionate about email in my life,” said Weber. “Our onboarding experience was really easy. He was very available to answer questions and was willing to help us figure things out.”
“It wasn’t that big of a deal to switch and now everybody’s emails are encrypted and we don’t really have to think about it,” Weber noted.
After making the switch to Paubox, healthfinch has improved its risk profile and email security.
In less than a year, Paubox has encrypted over 200,000 emails sent by 43 healthfinch staff members. Since Paubox encrypts all emails by default, no one had to spend any time wondering about whether or not to encrypt an email; it was done automatically. And all the email recipients had to do was click "open" to read an email - no password or portal required.
“One of the quantitative results we’ve seen is that we haven’t had any violations of information, security-related, to sending out email . . . We had previously seen where people would send something that they shouldn’t in a plain text. We have completely eliminated all of that,” explained Weber.
